Job Description

Title: Administrative Assistant II Duration: 18 Months (Possibility of extension/conversion) Schedule: Monday – Friday (9 AM - 5 PM) Work Location: Whitby, ON (Onsite – 5 days a week) Summary of the Role: Provide dedicated, high-level administrative support to Vice President–level executives and broader teams as assigned. Deliver exceptional customer service with professionalism and discretion across all internal and external interactions. Manage complex, fast-paced, multi-tasked workloads while consistently meeting deadlines and maintaining accuracy. Prepare, review, and complete supporting documentation including reports, presentations, correspondence, invoices, tables, charts, and files with strong attention to detail. Coordinate and schedule meetings end-to-end, including calendar management, room bookings, equipment setup, materials distribution, and logistical arrangements. Independently manage and respond to incoming inquiries, redirecting requests as appropriate to ensure timely resolution. Maintain proficiency in required software and department systems, including MS Word, Excel, PowerPoint, and related office tools. Collect, track, and organize data; research information; sort and distribute mail; process expense reports; and maintain accurate records and filing systems. Exercise sound judgment and discretion in handling confidential information and sensitive correspondence, escalating issues when necessary. Prioritize and manage workflow effectively, adapting to changing priorities while maintaining high-quality output. Communicate clearly and effectively, both verbally and in writing, to manage expectations and address concerns. Proactively identify opportunities for process improvements and recommend solutions to enhance efficiency and support team objectives. Must-Have Hard Skills: High school diploma or GED required 2-4 years’ experience in Admin/Reception required Previous experience with computer applications, such as Microsoft Word, Excel and PowerPoint Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills.
