Job Description

Job Title: Administrative Assistant – Safety & Maintenance Support Duration: 3 Months Location: Waimea, HI Position Summary The Administrative Assistant provides support to the Safety, Agronomy, and Maintenance teams by developing, organizing, and maintaining Standard Operating Procedures (SOPs), Standard Work Instructions (SWIs), and other compliance-related documentation. This role requires strong organizational skills, attention to detail, and cross-functional collaboration to ensure safe and efficient operations. The position also supports safety recordkeeping, inspections, and general administrative activities related to daily maintenance and safety workflows. Key Responsibilities Documentation Management Write, revise, format, and organize SOPs and SWIs for Safety, Agronomy, and Maintenance operations. Assist with the development of Lockout/Tagout procedures. Maintain and manage Safety Data Sheets (SDS). Support the Administrative Specialist with documentation related to research center operations. Safety Support Maintain inspection records for electrical safety gloves and arc flash suits. Conduct monthly inspections of pool vehicles. Assist with safety documentation, filing, data entry, and tracking of safety actions and requirements. Promote a strong safety culture and support initiatives that improve safe work practices. Maintenance Support Provide administrative support to Maintenance Specialists, including recordkeeping, scheduling, and documentation. Assist with inspection documentation, maintenance logs, and organization of technical files. General Administrative Duties Prepare documents, forms, reports, and correspondence. Assist with meeting coordination, scheduling, and communication. Support team members with day-to-day administrative needs. Skills & Qualificatio Proficient in Microsoft Office and general computer applications. Strong attention to detail and excellent organizational skills. Strong commitment to safety and supporting safe work practices. Preferred: Agricultural background or experience working in a research center.
